Start QuickBooks and the Web Connector at sign-in

After a restart or a Windows update, the connection comes back only when three things are true again: the computer is on, a Windows user is signed in, and the Web Connector is running for that user. If any of them is missing, the app shows the connection as not active until someone fixes it by hand. This guide makes the recovery automatic.

The Web Connector keeps its list of apps for each Windows user. If you add the app while signed in as “Front Desk” and the computer later signs in as “Admin”, the Web Connector starts with an empty list. Do everything on this page while signed in as the Windows user who ran setup.

Check whether the Web Connector already starts by itself

The Web Connector installer usually sets it to start at sign-in. Check before you change anything.

  1. Restart the computer and sign in as the Windows user who ran setup.
  2. Wait one minute.
  3. Open Task Manager with Ctrl+Shift+Esc and select More details if you see that button.
  4. On the Details tab, look for QBWebConnector.exe.

If it is there, the Web Connector already starts by itself. You can still add QuickBooks below. If it is not there, continue.

Add the Web Connector to the Startup folder

  1. Press Windows+R, type shell:startup, and press Enter. A File Explorer window opens on your Startup folder. Programs placed here start when this Windows user signs in.
  2. Open a second File Explorer window and go to C:\Program Files (x86)\Common Files\Intuit\QuickBooks\QBWebConnector.
  3. Right-click QBWebConnector.exe, drag it into the Startup folder, release, and choose Create shortcuts here.
  4. Restart, sign in and check Task Manager again as described above.

Also check that Windows has not turned it off. Open Task Manager, select the Startup apps (or Startup) tab, find the Web Connector and make sure it says Enabled.

If you chose Yes, always; allow access even if QuickBooks is not running during setup, the Web Connector can open QuickBooks by itself, and you do not need this step. Starting QuickBooks at sign-in still helps if you want requests to be faster, because QuickBooks is already loaded when the app asks for something.

  1. Click Start, type QuickBooks, right-click your QuickBooks Desktop result and choose Open file location.
  2. Right-click the QuickBooks shortcut there and choose Copy.
  3. Press Windows+R, type shell:startup, press Enter, and paste the shortcut into the folder.

Startup programs only run after someone signs in. If the computer restarts overnight for updates and sits at the Windows sign-in screen, the connection stays down until the morning.

  • Turn off sleep for this computer in Settings › System › Power & battery (Windows 11) or Settings › System › Power & sleep (Windows 10). Set sleep to Never when plugged in.
  • Ask your IT person whether this Windows user can sign in automatically after a restart. This has security tradeoffs, so it is their decision.
  • Locking the screen is fine. A locked computer stays signed in and the Web Connector keeps running.

Do not set only one of the two programs to run as administrator. QuickBooks and the Web Connector must both run normally, or both as administrator. If you use Task Scheduler and tick Run with highest privileges, the Web Connector runs as administrator. See Run QuickBooks and the Web Connector at the same permission level.

  1. Restart the computer and sign in.
  2. Wait two minutes without opening anything.
  3. Do something in the app that needs QuickBooks. It should succeed.

Contact them if the connection still shows as not active after a restart even though QBWebConnector.exe is running. Send the time of the restart, the exact message in the app and a screenshot of the Web Connector window.
