Web Connector settings to keep
The connector file from setup already configures the Web Connector for you. It checks in every few seconds, so the app sees changes in QuickBooks almost right away and can send changes back. A few settings in the Web Connector window and in QuickBooks can undo that. This page lists them, what each one does, and how to put it back.
In the Web Connector
Section titled “In the Web Connector”Open the Web Connector from QuickBooks with File › App Management › Update Web Services. Find the app’s row, named like “App name (Company name)”.
| Setting | Keep it like this | What happens if it changes |
|---|---|---|
| Checkbox at the start of the row | Checked | The Web Connector skips the app. Nothing reaches QuickBooks. |
| Auto-Run | Checked | The Web Connector only runs the app when someone clicks Update Selected. The app shows the connection as not active. |
| Every-Min | Empty | A number here replaces the real-time schedule. With 5, the app waits up to five minutes for every answer. |
| Password | Saved | The Web Connector cannot sign in. You see a password error. |
If someone typed a number into Every-Min:
- Click the Every-Min cell for the app.
- Delete the number so the cell is empty.
- Press Enter.
The app’s support team can see when check-ins slow down, so they may ask you about this setting before you notice anything.
Other things to leave alone:
- Update Selected is harmless but not needed. The Web Connector runs the app on its own.
- Hide sends the Web Connector to the notification area by the clock. It keeps running. Exit stops it, and the connection stops with it.
- The status text in the row, such as “Ok” or “No data exchange required”, is normal when nothing is waiting.
In QuickBooks
Section titled “In QuickBooks”QuickBooks keeps its own record of what the app may do. To see it, sign in as Admin, choose Edit › Preferences › Integrated Applications, select the Company Preferences tab, select the app and click Properties.
Keep these as they were set during setup:
- Allow this application to login automatically, with the option to allow access when QuickBooks is not running. Without it, the app only works while someone has the company file open on the Web Connector computer.
- Login as set to a user that exists and has the access the app needs. See Change the QuickBooks user the connection uses.
- The app stays in the list and is not set to be refused. If you remove it, see QuickBooks denied access to the app.
You do not need to allow access to personal data such as Social Security numbers or full credit card numbers. The app does not use them, and the connection works without them.
On the computer
Section titled “On the computer”- The computer stays on and does not sleep.
- The Windows user who ran setup stays signed in. Locking the screen is fine.
- The Web Connector starts when that user signs in. See Start QuickBooks and the Web Connector at sign-in.
Check that it worked
Section titled “Check that it worked”In the Web Connector, the app’s row is checked, Auto-Run is checked, Every-Min is empty, and the last update time keeps moving forward while the app is in use.
When to contact the app’s support team
Section titled “When to contact the app’s support team”Contact them if everything above looks right and the app still says the connection is not active. Send the time, the exact message and a screenshot of the full Web Connector window.
