# Web Connector password problems

> Fix a Web Connector password that is not set, rejected (QBWC1040), lost, or asked for every time the Web Connector starts.

Each connection has its own Web Connector password. The Web Connector sends it to our server on every check-in to prove the request comes from your computer. If the Web Connector does not have the right password saved, nothing gets through.

## About the password

- It is 32 characters, shown as 8 groups of 4 separated by hyphens. It uses capital letters and digits, and leaves out characters that are easy to confuse with each other.
- The setup page shows it once. You can return to that page until the setup link expires. After setup, nobody can show it to you again, including the app's support team and us.
- The Web Connector stores it encrypted for your Windows user. You do not need to write it down.
- It is not your QuickBooks password, your Windows password or your password for the app.

## Password not set

### What you see

The Web Connector's **Password** cell for the app is empty, and the Web Connector reports that the password is not set, often with the code `QBWC1030`. The app shows that the connection is not active.

### How to fix it

1. If your setup link has not expired, open it again and go to the **Enter the password** step. Click **Copy password**.
2. In the Web Connector, click the **Password** cell in the app's row, paste the password and press **Enter**.
3. Click **Yes** when the Web Connector asks whether to save it.
4. If the link has expired, ask the app for a new one and complete the whole setup. See [Lost password](#lost-password).

## Invalid password (QBWC1040)

### What you see

The Web Connector shows `QBWC1040` with a message about an invalid username or password.

### Why it happens

- The password was typed with a mistake, or pasted with extra characters.
- The connector file comes from one setup link and the password from another. Each link has its own pair.
- A newer setup for the same connection finished on another computer, or on this one with a new connector file. When a new connector completes setup, older connectors for the same connection stop working.

### How to fix it

1. If your setup link is still valid, copy the password again from the **Enter the password** step and paste it into the **Password** cell. Press **Enter** and click **Yes** to save.
2. If the Web Connector shows more than one row for the app, an old row may be the one failing. Keep the row from the newest setup and remove the others with **Remove**.
3. If the connection was moved to another computer on purpose, remove the app from the Web Connector on this computer. See [Move the connection to a new computer](https://www.desktopaccountingapi.com/docs/help/guides/move-to-new-computer/).
4. Otherwise, ask the app for a new setup link and complete the whole setup, including the new connector file.

## Lost password

You only need the password again if the Web Connector forgets it, for example after you remove the app, reinstall the Web Connector or sign in as a different Windows user.

1. Ask the app for a new setup link. The app's support team can create one.
2. In the Web Connector, remove the app's old row with **Remove**.
3. Open the new link on the computer that runs QuickBooks and follow every step. You get a new connector file and a new password. The old ones stop working once the new setup finishes.

## Asked for the password every time the Web Connector starts

### Why it happens

- When you entered the password, the Web Connector asked whether to save it and someone clicked **No**.
- The Web Connector runs under a different Windows user than the one who saved the password. Saved passwords belong to one Windows user.
- The Web Connector runs with **Run as administrator** some days and normally on others.

### How to fix it

1. Sign in to Windows as the user who set up the connection.
2. In the Web Connector, click the app's **Password** cell, enter the password again and press **Enter**. This time click **Yes** to save. If you no longer have the password, see [Lost password](#lost-password).
3. Start the Web Connector the same way every time. ## How to check it worked

The **Password** cell shows asterisks. Click **Update Selected**. The app's row finishes without an error in **Last Result**, and the app no longer shows that the connection is not active.

## When to contact the app's support

Contact them if a freshly copied password from a valid setup link is rejected, or if you need a new setup link. Send the time, the exact message and code, and a screenshot of the Web Connector window showing every row. Never send the password itself.
